Data processed and purposes
Website visitors. When you book a demo or write to us, we process your name, email, company and message in order to reply (legal basis: pre-contractual steps / legitimate interest). Audience measurement and advertising cookies are only set with your consent (see “Cookies” below).
Updates and offers. With your consent, or if you are already a customer for similar services, we may send you information about our services and new features; every message includes a one-click unsubscribe link.
Customers and platform users. We process the data needed to manage the account, contract, billing and support (legal basis: performance of the contract, legal obligations).
Prospects contacted on behalf of our customers. As part of campaigns, we process business data (name, role, company, business email and, where applicable, business phone) from professional data sources in order to present our customers' offers (legal basis: legitimate interest). Every email offers a simple way to object to further emails; objections are applied without delay.
Cookies
On your first visit, a banner lets you accept, refuse or choose cookies; refusing is as easy as accepting. Your choice is kept for 6 months (`lm_consent` cookie) and can be changed at any time via the “Cookie settings” link at the bottom of the page. It applies to leadmatrix.io and to the signup form (app.leadmatrix.io).
- Audience measurement (Google Analytics 4, Google Ireland Ltd): visit and signup-journey statistics; IP addresses are not stored by Google Analytics. Duration: 13 months maximum.
- Advertising (Google Ads): conversion measurement for our ads (the `gclid` click identifier is kept for 90 days in the `lm_gclid` cookie and sent with your signup to attribute the conversion to the ad). Duration: 90 days.
- Visit source: campaign parameters (`utm_*`) kept for 90 days in the `lm_utm` cookie if you accept audience measurement.
Without your consent, Google only receives cookieless signals (Google Consent Mode). Google may process some data outside the European Union, on the basis of the European Commission's standard contractual clauses and the EU–US Data Privacy Framework.
Recipients
Data is accessible to authorised Lead Matrix staff and, for interested prospects, to the customer concerned. We use processors for hosting, professional data, email sending, audience measurement and advertising (Google). Where data is transferred outside the European Union, such transfers are covered by appropriate safeguards (standard contractual clauses).
Retention periods
- Contact requests and prospects who did not follow up: 3 years from the last contact.
- Customer data: duration of the contract, then the legal retention period (10 years for accounting records).
- Objection lists: kept as long as necessary to ensure objections are respected.
Your rights
You have the right to access, rectify, erase, restrict, port and object to the processing of your data. To exercise them: c.houde@h-holding.lu. You may also lodge a complaint with the Luxembourg National Commission for Data Protection (CNPD, www.cnpd.lu) or with the authority of your country of residence.
Security
We implement appropriate technical and organisational measures: encrypted connections, access control, two-factor authentication for our staff, audit logging.
